Your Document Manager has several folders that show the status of your uploaded documents. Each folder has a specific purpose.



Inbox Folder


Ideally, you won’t ever see anything here. After a document is uploaded, it should automatically move to the Extracting folder.  The only time you’ll see documents in your inbox is if:

  • You unmerged a document yourself, or

  • We attempted to re-merge but couldn’t complete it.

Extracting Folder


This is where you can confirm that your documents have been uploaded successfully and that they are in queue for processing.  Think of this as clickBACON’s “to do list.” Documents here are waiting for our AI to extract and code the data.  


Depending on the document, this process can take between a few minutes to several hours.  You can expedite this by processing the document yourself  by updating any of the fields and then by pushing the document to R365/QuickBooks Online or filing it away.  


⚠️ Important: If you update any field, the document is pulled from the AI queue and will not be processed by our system. If you want to return it to the queue, click RESUBMIT button.


If a document contains multiple invoices or bills, it must be unmerged first.  You can handle this yourself or the system will take care of it for you.  



Ready for Review Folder


Documents in this folder are ready for you to review.  We’ve done all the work we can and it's now your turn to confirm our work and push to R365 or QuickBooks Online.  


This is your chance to correct coding if needed. Fixing something here updates how that item will be coded going forward.  For example, if we coded a Beverage to Food, correcting it here will update the mapping for all future extractions.


You will see documents here if:

  • They contain new items you haven’t approved yet, or

  • They met one of your rules to hold it before pushing to your accounting platform.



Pending Folder

Move a document here when it still needs something done before it’s complete. This folder is only used when you manually move documents into it.  


Completed Folder


Think of this as a report or view, not an active folder. Documents here have already been processed and moved to their proper storage location.


By default, you’ll see the past 7 days of completed documents. You can change the filter to view a longer timeframe, but it will always reset to 7 days when you come back.

Rejected Folder


Any document that our AI engine rejects will land in the rejected folder.  If you hover over the red rejected status the reason it was rejected will show.


Original Uploads Folder


Whenever you merge or unmerge a document, we keep a copy of the original document in the Original Uploads folder.


Trash Folder

Any deleted files go to the Trash folder.  Click on the 3 dots next to the document if you would like to restore or permanently delete any file.
